Monthly board meeting minutes, 4/18/2006

Make-up meeting because there was no quorum earlier this month during regularly scheduled date and time.

2006 nominations:

A nominating committee already exists consisting of:

Mike Shorb

John Nist


Richard said he was notified that a nominating committee was coming. After the meeting was over.  Mike Shorb told Richard after the annual meeting.

Members were upset that they didn’t know a nominating committee was formed.  Only three board members even knew the nominating committee exists and there was no written record of it or notification.

Mike Shorb said that the nominating committee didn’t have to be documented anywhere.

The VP said that this wasn’t brought up during the annual meeting.

Ray proposed that there was no nominating committee because it wasn’t documented or notified and proposed that the nominating committee is formed tonight. Dave Jiles seconded the motion.

Dave suggested there may be a nominating committee error

Everyone backed out and agreed that there was no nominating Committee

(corrected) Mike preferred to keep the old list of 3 nominees, but was overridden by the other two committee members and did agree that the new list of 5 is good.

(added correction) Pam suggested creating the nominating committee, but holding off on the vote until May 2 so that the proposed slate of nominees could be made public to the homeowners, possibly on the website.

Board members said we could vote on the list tonight to fill 3 spaces.

Each nominee took a few minutes to speak and promote themselves

It was decided that each voter would need three pieces of paper and all attendees will vote

Dave Jiles and Francis counted the votes.

No vote tonight.  Mike wants board members to read documentation passed out.

Any homeowner can be on a committee.  Typically led by non-officer board member.

Dave volunteers to be on the work party and special projects committees

Preliminary agreement was made to accept the committee members as above.

 

Work party:

Already scheduled for April 29th, 8am between the lakes.

Richard will install signs for work party on 13 mailboxes

Work party list given to Jeff

Clean up after dog signs and neighborhood watch.

Charlene offered to bring cookies

Motion made to spend up to $200 on work party.  Mike Shorb made, Richard seconded.  Approved.

Talk about Rob may not be there this year and there was confusion when he wasn’t there in a previous year. (Thank you Rob for all your great help over the years.  We appreciate you)

Team leaders suggested

Task list discussed. Sub tasks with pages.

 

Misc:

Next meeting will be at firehouse on 1st Tuesday of May.

Dave and Dora thanked for all their hard work being secretary for 7 years.

 

Treasurers Report:

Treasurer’s report presented.

Question about dues.  Late dues deposited.

3 outstanding.  One paid 5 years in advance

2 still past due and at the attorney.  One this year and one for 2 yrs past due

One hasn’t paid for 2 years now

Lien from last year was paid

Mike went over treasurer report.  Mentioned ~$200 discrepancy still outstanding since 2 years ago.  Still not resolved.

Wants to get down to just a checking account only and close savings account.

Question about landscaping contract.

(corrected) Tree removal approved for $600 and it only cost $217

Current landscaper contract is expired and month to month

Discussion of landscape contracts.

John Nist motioned that treasurers report be approved, Ray seconded it. Approved.

 

Misc:

Question about checking mailbox.  Mike Shorb checked it last week

Discussion about fence on 35th that fell down.  Dave Jiles: Letter sent already.  Suggested we send second demand letter with one month limit. Dave has template to send second letter.  Will give to Ray

Motion to adjourn the meeting.  Mike Shorb made, John Nist seconded it.  Approved.

 

 

Corrections:

Three corrections were approved at the May 2nd meeting.
